2. What Personal Data We Collect
Placing an order. When you buy from us we collect your name, email address, phone number, billing and delivery address, and a record of what you ordered. We also store the IP address and browser (user agent) the order was placed from, which we use to help detect fraud and resolve delivery or payment disputes.
Payment. Card and payment details are entered directly with our payment providers, PayPal and Stripe, and are never seen by or stored on our own servers. We keep only a payment reference and status (for example, that PayPal confirmed a payment was captured) so we can match it to your order.
Product reviews. If you submit a review, we store the name you give us (or "Anonymous" if you leave it blank), an optional contact detail, your rating and review text. Reviews are only shown on the site once approved.
Restock notifications. If you ask to be notified when a product is back in stock, we store your email address against that product so we can email you once, when it becomes available.
Cookies. Our site uses a small number of strictly necessary cookies: one to keep you logged into your session, one to remember the contents of your basket, and one that remembers a restock request you've made. None of these identify you personally, none are used for advertising or tracking, and none require your consent under UK cookie law because they are necessary for the site to function. We do not use Google Analytics or any third-party tracking or advertising cookies. We do keep an internal, aggregate count of how many times each page is viewed per day, to understand which pages are useful – this is a total count per page, not a log of individual visitors, and no personal data is attached to it.
3. How We Use Your Data
We use your data to:
We do not use your data for marketing emails, and we do not sell, rent or share your personal data with any third party for their own marketing purposes.
4. Our Legal Basis for Processing
We process order and payment data because it is necessary to perform the contract of sale with you. We process fraud-prevention data (IP address, browser information) and internal page analytics under our legitimate interest in keeping the site secure and understanding how it is used, in a way that does not override your own rights. Where you voluntarily submit a review or a restock request, we process that data on the basis that you have given it to us for that specific purpose.
5. Sharing Your Data
We share personal data only where it is necessary to provide our service:
We do not transfer personal data outside the UK.
6. How Long We Keep Your Data
We keep order records for as long as required by UK tax and accounting law (normally six years), and warranty-related records for the length of the product warranty. Restock notification requests are deleted once the notification has been sent or the product is discontinued. You can ask us to delete other personal data we hold about you at any time, subject to the legal retention requirements above.
7. Keeping Your Data Secure
We use industry-standard security practices to protect the data we hold, including encrypted (HTTPS) connections to the site and restricted access to our order and customer records. Card and payment details are never handled or stored on our own servers – that is done entirely by PayPal and Stripe, both PCI-DSS compliant payment providers.
8. Your Rights
Under UK data protection law you have the right to:
To exercise any of these rights, please contact us. If you remain unhappy with how we have handled your data, you have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
9. Children
NotesCheck sells business equipment and is not directed at children. We do not knowingly collect personal data from children.
10. Changes to This Policy
We may update this policy from time to time, for example if we change how the site works or the law changes. The current version will always be available on this page.
11. Contact Us
